Kappersbaan connects hairdressers and barbers with salons. We handle your data with care. This page contains our privacy statement and the terms for using kappersbaan.nl and the Kappersbaan app.

Who is responsible

Kappersbaan is responsible for the processing of your personal data on kappersbaan.nl and in the Kappersbaan app. If you have a question about your data, email info@kappersbaan.nl.

What data we collect

  • For your account, we keep your name, your email address, your language preference and whether you are a hairdresser or a salon. We only store your password in encrypted form.
  • Your hairdresser profile contains your town or city, your experience, your specialties, your availability and the kind of work you are looking for. If you wish, you can add an introduction, your phone number, your LinkedIn profile, a CV and a profile photo.
  • For a salon, we keep the salon name, the address with its location on the map, the description, the photos, the jobs and links to social media and to videos.
  • When you apply, we keep your application with your cover note and its status. We also keep the messages between you and the salon. We remember the jobs you save in your account.
  • If you contact us through the contact form, by email or through Timo, we keep your message with your name and email address so that we can reply to you.
  • If a salon blocks you, we record that. If you report a conversation, we keep the report together with that conversation.
  • If you use Timo, have a job or salon website imported or look up an address in the app, we keep a version of your IP address that has been made unrecognisable (known as a hash). This lets us count how often you do this and prevent abuse.

What we use it for

  • Connecting hairdressers and salons (showing jobs and salons, matching, applying and sending messages).
  • Managing your account and handling your applications and messages.
  • Sending you emails and push notifications about your account, your applications and new messages. You only hear about new jobs if you turn that on yourself.
  • Answering your questions through Timo, email or the contact form.
  • Automatically translating job and salon texts into English, so that we can also show them to English-speaking visitors.
  • Handling the subscriptions of salons and their payments.
  • Improving the service and preventing abuse or fraud.
  • Complying with legal obligations.

On what legal basis we do this

Under the GDPR, we may only use your data if there is a legal basis for doing so. We rely on these legal bases.

  • For your account, your profile, your applications, your messages, salon profiles, jobs and help from Timo, we need your data to perform our contract with you.
  • For push notifications and for emails or notifications about new jobs, we ask for your consent. You can withdraw that consent at any time.
  • On the basis of our legitimate interest, we use your data to prevent abuse, count website visits, improve Timo, translate texts, analyse cover photos and create illustrations. We only do this if your privacy interests do not override that interest. You can object to this.
  • We keep some data because the law requires us to, such as the data that belongs in our financial records.

Who we share data with

  • Salons only see your profile, your CV and your application if you apply for one of their jobs.
  • Your salon profile and your jobs are public. Anyone can view them on kappersbaan.nl and in the app.
  • We never sell your data and do not use it for advertising.
  • We share data with others if the law requires us to, for example when the police or the judicial authorities demand it.

We also work with processors. They only process your data on our instructions.

  • Vercel hosts the website and the app’s server. Photos and CVs are also stored with Vercel.
  • Neon manages our database.
  • Resend sends our emails and receives your replies to emails from our support team.
  • Expo and Apple deliver the app’s push notifications.
  • Anthropic provides the AI model Claude for Timo and for the other AI features below.
  • Mistral helps Timo search our own knowledge base, within the EU.
  • OpenAI turns a salon’s first photo into an illustration in the Kappersbaan style.
  • Firecrawl and OpenRouter help import a job or salon website that a salon provides itself.

Some parties are themselves responsible for what they do with your data. Their own privacy terms apply to them.

  • Apple, Google and LinkedIn, if you log in with their account.
  • Apple, if you have turned on analytics sharing in iOS.
  • YouTube, Instagram, TikTok and Facebook, if you view a salon page with a video from their platform.
  • OpenStreetMap and the PDOK Locatieserver (Kadaster), when we look up a place or address for you.
  • Mollie, which processes the subscription payments for salons.

Timo and other AI features

Timo is Kappersbaan’s digital assistant, on the website and in the app. We also use AI for a few other tasks.

  • If you ask Timo a question, we send your question and the conversation to Anthropic (Claude), which drafts the answer. To search our own knowledge base, your question also goes to Mistral, in the EU.
  • We keep your questions to Timo and his answers separately from your account, to improve Timo’s help.
  • If you ask Timo for a member of staff, we create a support ticket with the conversation and your email address so that we can reply to you. If you are logged in, we also add your name.
  • If you are logged in to the website as a salon and ask about your own account, Timo looks up the status of your jobs and your subscription. That status and your name then also go to Anthropic.
  • If you ask for a draft of your cover note in the app, we send the job and your profile to Anthropic. Your name, email address and phone number are not included.
  • We use Anthropic to automatically translate job and salon texts into English.
  • For a salon’s cover photo, we have Anthropic determine where faces are, so that we can crop the photo properly.
  • For the first photo a salon uploads, we have OpenAI create an illustration in the Kappersbaan style.
  • For support questions, Anthropic can help us analyse a question and prepare an answer. A member of staff checks that answer before we send it.
  • We do not use your conversations for advertising.

You only use Timo and the draft of your cover note if you want to. If you do not want us to process your texts or photos with AI, you can object to this by emailing info@kappersbaan.nl.

Data outside the EEA

Some of our processors are based in the United States or process data there, such as Anthropic, OpenAI and Expo. Your data may then end up outside the European Economic Area (EEA). We only work with parties that offer appropriate safeguards for this, such as an adequacy decision or the standard contractual clauses of the European Commission.

The Kappersbaan app

If you use the Kappersbaan app for iPhone, this privacy statement also applies. For the app, the following points apply as well.

  • You only receive push notifications if you allow them in iOS. We then keep a push token with your account. This is a random code for your device, not a phone number.
  • With a push notification, we let you know that there is a new message or that the status of your application has changed. Salons also receive a notification for a new application. If you turn on job notifications, we also notify you of suitable new jobs. A notification may contain the sender’s name and the job title.
  • The notifications go through Expo and Apple. When you log out and when you delete your account, we remove the push token. You can turn off notifications in the app or in the iOS settings.
  • For job notifications, you choose a town or city and a radius yourself. We store that place with its coordinates. To determine the coordinates, we only send the place name to OpenStreetMap (Nominatim). The app does not use your device’s location or GPS.
  • If you type a town or city in the app, we look it up with the PDOK Locatieserver (Kadaster). We look up a salon’s address with OpenStreetMap (Nominatim). These services only receive what you type.
  • The app only asks for access to your camera or photos when you take or choose a photo yourself, such as a profile photo or a photo of your salon. Apart from that, the app does not read anything from your photo library. A CV or other document is only uploaded if you upload it yourself.
  • As a hairdresser, you delete your account directly in the app via Profile → Delete account. We then delete your account, profile, CV, profile photo, applications, messages, saved jobs and push tokens.
  • As a salon, you delete your account via Account → Delete account. We then delete your account with your salon profiles, your jobs and the applications and messages that belong to them.
  • If you have turned on analytics sharing in iOS, Apple may send us anonymous crash reports from the app.
  • The app contains no advertising and does not track you across other apps or websites.

Logging in with Apple, Google or LinkedIn

You can create an account or log in with your Apple, Google or LinkedIn account, on the website and in the app.

  • From the service you choose, we receive a fixed user ID, your name and your email address.
  • If you create an account as a hairdresser, we also retrieve your profile photo from Google and LinkedIn. This only happens at the moment you create the account. You can change or delete that photo afterwards.
  • If you choose ‘Hide My Email’ with Apple, we receive a forwarding address from Apple. Our emails then reach you via Apple.
  • We keep the user ID and the email address from the service so that we recognise you next time. We do not keep access tokens from Google and LinkedIn. From Apple, we keep one token, only to revoke the connection if you delete your account.
  • An account you create this way does not have a password. If you want one anyway, use ‘Forgot password’.
  • If you delete your account, we also delete the connection with Apple, Google or LinkedIn. With Apple, we then also revoke Kappersbaan’s access.

How long we keep data

We keep your data for as long as your account exists. If you delete your account or profile, we delete your personal data. Different retention periods apply to a few types of data.

  • We keep orders and payments for the subscription and redeemed vouchers for seven years, even if you delete your account. That is the statutory retention obligation for our records.
  • We keep track of whether an email from us was delivered for 90 days.
  • We delete the unrecognisable version of your IP address after a few days.
  • We keep your questions to Timo and his answers no longer than necessary to improve Timo’s help.
  • We keep support questions, messages sent through the contact form and reports no longer than necessary to handle them.
  • If a salon deletes a job or its salon profile, we also delete the applications and messages that belong to it.

Your rights (GDPR)

You have the right to access, rectify and erase your data, the right to restriction of processing, the right to object and the right to data portability. You can change your profile and account details yourself in your account, on the website or in the app. You can also delete your account there. For anything else, email info@kappersbaan.nl. We will respond within one month.

If we use your data on the basis of your consent, you can withdraw that consent at any time.

If you do not agree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Cookies

Kappersbaan only places functional cookies, for example to keep you logged in. We do not use tracking or advertising cookies.

We count visits to the website with Umami, without cookies. This shows us, for example, how often a page has been viewed, but not who you are.

If a salon has added a video from YouTube, Instagram, TikTok or Facebook to its salon page, that video loads directly from that platform. That platform then sees your IP address and may place cookies. The privacy terms of that platform apply to this.

If you choose your address on the map as a salon on the website, the map and the search results load directly from OpenStreetMap. OpenStreetMap then sees your IP address and what you type in the search field.

Security

We take appropriate technical and organisational measures to protect your data.

We do not store payment details such as your bank account number ourselves. Mollie processes them. For each payment, we keep the amount, the VAT, the status and the references that Mollie assigns to your payment and your subscription.

Terms of use

  • As a hairdresser, you are responsible for the content of your profile and your applications. Kappersbaan puts hairdressers and salons in contact with each other, but does not guarantee a job or a response.
  • As a salon, you are responsible for your salon profile and your job ads. You recruit fairly and without discriminating.
  • Hairdressers and salons make their arrangements about work, wages or chair rental directly with each other. Kappersbaan is not a party to those arrangements and is not liable for what hairdressers and salons post or agree with each other, to the extent permitted by law.
  • Do not use the platform for unlawful purposes.
  • We may take a profile, job, message or account offline or delete it if it violates these terms or the law.
  • These terms are governed by Dutch law.

Subscription for salons

  • To post jobs, you take out a subscription. You can find what it costs on the Prices page.
  • You pay for the first month with iDEAL. After that, we automatically debit the amount every month via Mollie.
  • You can cancel on a monthly basis in your account under Abonnement (Subscription). Your subscription then continues until the end of the paid period. As soon as it ends (including when a direct debit fails), the jobs you posted under the subscription go offline. Your salon profile, applications and messages are kept.
  • A voucher gives you a free period. You can use a voucher code once per account and not while you have a paid subscription that is still running.
  • If you delete your salon account, we first cancel any active subscription.

We may change this privacy statement and the terms. The current version is always on this page. This version dates from October 2026.
